    Committee Meeting - 4/11/02.
    Present: Tom, Emma P and C, Julie, Elinor, Karen, Zoe, Claire, Rokeya, Ralph, John and Tim.

    Fundraising:- There will be a car wash to raise money for the club and new equipment in week 7. Will be held on Tuesday 19th November. Flyering will take place on Monday 18th November, meet at 11.30am outside the post office side of Bramber House. Need as many people as possible.

    Socials:- Sports Fed Xmas Social will be on the last wed of term. Not sure what's going on yet, but will keep people informed as soon as we know.
    Rowing Social will be on the 7th Dec (Saturday). Probably consist of fun races and then something afterwards in the afternoon, still to be decided, so any suggestions to Jamie.
    Zoe is organising a night out at Creation this Thurs, as there is the chance that they may want to sponsor us. Talk to Zoe for more details.

    Outings:- From this Wednesday on, the outings will be staggered to ensure that people aren't waiting around on the beaches for too long. It's very important that you check your emails and come down at the right time, or you may not bet the chance to row.

    Racing:- Claire is holding a racing meeting on the 12th November (Tuesday) for all the women who are interested in racing, or just want more information about it before they make up their mind. It will be at 6:30 in the Common Room in Falmer House.

    Training:- Claire has organised circuit training for everyone in the Sports Centre. Will starts at 3pm, so need to be ready before then. It will last an hour, and costs a measly £1.50, so a bargain really.

    Boat Insurance:- It's no longer possible to insure the boats as "New for Old" so looking for a new policy. For £1,020 we can insure the fours for £3000 each, Pot Luck for £6,000 and Rock Steady for £5,000. This is £200 a year cheaper than our current policy and insures us for another 3 months.

    Kit:- Sorting out orders for Kit soon, Need to get the prices and then we can sort out the order forms. Karen and Emma will sort this out. Also a chance that Creation may sponsor us. Might ask them for long sleeved training tops. Need to think up a witty comment for the back of them again.

    Renaming the boats:- Will hopefully done at the Xmas social if we can con a certain person into visiting without her getting suspicious. The Maidstone Head is on the 8th Dec, so this won't clash with racing.

    UNION AGM:- THURSDAY 7TH NOVEMBER. 1:30 - 4PM. NEED AS MANY PEOPLE THERE AS POSSIBLE!!!!!!

    Emails:- Everyone who is a paid up member should be on the rowing.crew email list by the end of this week. Anyone who doesn't think that they're getting emails should let Rokeya, Julie or Emma P know. The rowing.crew list is normally used for serious announcements and information that the whole club needs to know. For people that want to chat and exchange "humorous"messgaes we have a chat board. There is also more information about the club and photos on the website, so go and check it out.

    Executive Committee meeting 24/9/02

    Freshers Fair - Starts 10 am - 4 pm. 1st Oct. All the people who volunteered to get there early need to be there by 9am to help set things up. Need photos from socials and rowing. (don't forget that that's what we actually do!) And also any trophies that anyone is proud of. Karen is going to con Tom into picking up some good blades from Shoreham. Need to try and get the erg down from the gym. Tim has "volunteered" to get sweets, but these are obviously only for us to eat

    3pm: Emma, Karen.


    Everyone else is welcome to come along and help at any of the times that they can make.

    Social- The first social is going to be the wednesday after the Fair. (2nd Oct). Going to do traditional 5 - legged pub crawl again. Everyone has to wear red, and we will be going on somewhere afterwards.

    First Outing - Will be Sunday 6th oct. Karen, Julie and Jamie to cox. Need people on ergs to show freshers how to row. Someone with a blade and a trestle to show them how to move that. And then an experienced stroke and bow rower in each boat, so that the novices can go in the middle. People were semi-sorted into groups, but that may change depending on who can help, but Rokeya has the finalised list. Elinor and John need to meet the Freshers at Falmer station to catch the 9:15 am train to Shoreham. Everyone's going to the pub afterwards.

    Equipment - Karen has bought some canvas, so that we can repair Rock Steady and Bertie. That cost £34.50. Also owe Shoreham £8 for the cancelled Mens Novice Crew.

    Finances - At the moment Karen is more up to date than the finance office, but that's no big suprise really. We have £338.42 in the account at the moment. The membership this year is being kept at £30, despite Sports Fed increasing it on our behalf (?)

    Races - Not sure what Tims intentions are, but Claire wants the womens crew to do at least one race a month.
    Looking to have crews for BUSA sorted by Christmas.

    Trying to get an ARA coach for BUSA, again not sure what the men are doing.

    Boat renaming - contacting Paul about the plaques. Date still to be confirmed.

    Boats & Beans - Still going ahead, (we should shoot the person that came up with that dumb idea!) Need to write to supermarkets again and ask for more money for beans.

    Shoreham and our boats - Need to stop Shoreham from borrowing our equipment as they aren't insured on it. Say thank you to Stan for his help, but explain that his crews borrowing our boats/blades/riggers is not allowed for insuarnce purposes.

    Extra - Sending a letter to the ARA about rowing above the loch, in the hope that they can help.

    A special thanks has to go out to the men for not turning up to this meeting. Because of you it was fun, and we actually got stuff sorted out in a reasonable amount of time. But beware! If you miss anymore, then you will be voluntered for all the really shitty tasks, and if you don't believe me then ask James S, who narrowly escaped being President!

    ROWING AGM 1/5/02

    Coastal and River Regattas: Due to the failure of BUSA we are going to try and organise some river regattas so people can race. Possibility of racing at Twickenham (25/5), but there are 3 coastal regattas that are close. Brighton and Hove (19/5), Worthing (1/6) and Shoreham (16/6).

    Membership Fees: Thanks to Karen sweet talking the Shoreham lot, the membership fee is staying the same this year.

    Varnish boats: Both Bertie and Rock Steady need to be varnished soon. (Especially Bertie!) Going to varnish them on the 12th May (sun). Hopefully have an outing first about 10 am and then varnish the boats at 12pm. James S, Rokeya, Katie and Nat can't make it. Everyone else needs to come along and help.

    Finance: Lots of money has come out recently.
    £25 Nuts and Bolts.
    £40 minibus tests.
    £30 trophies
    Travel expenses for looking at boats.

    Not sure if the £200 coaching money has gone in.

    Leaves us with about £500.

    Equipment: Tom's looking at 2 boats on Sunday. Costs £1000 for both of them. We can put £500 in and get the rest from the initiative fund. Also need money for repairs. Both Bertie and the VIII need recanvessing and one of the blades for the IV needs to have the water taken out of it. We need about £200 for repairs, so will hold a summer car wash to raise the money.

    Shoreham Dinner and Dance: Cancelled due to lack of interest. Just goes to show that they do need us to make the club good. (obviously they cancelled it as none of us were going!

    Sports Fed Ball: 10/5/02 Zoe, James, Tim and Steve still need tickets.

    Claire and Elinor proved that girls are nicer than boys by buying medals for all the women and cake and alcohol for Karen and I. Tom's mens team let him down!

    Executive committee meeting 4/3/02

    Present: James, Julie, Claire, Karen, Tom, Emma P, Carl, Gareth, Elinor, Emma C. Apologies: Katie, Nat, Rokeya

    ACCOUNTS:
    • The Sports Fed Accounts are almost up to date, they are up to mid February.
    • According to them we have £972 in the account.
    • According to US, after all the up-to-date money has gone in and out, we should have £517.
    • £150 had just been paid in, by Karen, from Nicki for coaching last year, and £10 still has to go out.
    • £680 has been paid by us for BUSA accommodation and the rest has been paid for by Sports Fed.
    • We have 7 new members who have all paid £20 each, and another one possibly in the in-box there.
    • After everything has gone through we should have about £700.

      (James gets blamed for the fact that none of the novices who have joined up actually show up!)

      SLINGS:
    • Carl (or his Dad) have made the slings that we need for the river boats, and we just need to get some material to finish them off.
    • Karen and Tom have bought the club tool kit that we decided to buy at the last meeting. Now everyone can help with rigging.

      AGM:
    • Karen has booked a room for the AGM. It will be held on the Wednesday 1st May, and is going to be in training room 2 in Falmer house. Everyone should be able to come as that is when we should all be rowing.
    • Decision made to have an unofficial meeting when we are all back for training, to sort everything out before the beginning of term

      (Elinor foolishly lets on that she has never done a 2,000m erg, Claire discusses ball gowns and Karen shouts at everyone to shut up!)

      SPORTS FED BALL:
    • 10th May, Hilton West Pier, costs £25.
    • Karen is getting tickets on the tues or weds for the 15 people who have given her money.
    • People who want to go and haven't given their money to Karen, need to get tickets soon.
    • Discussion about whether we want to give out awards at the sports fed ball, or save them to give out another time.
    • If every club has 2 awards minimum to give out then it will take forever and everyone will get really bored.
    • Not sure what exactly is happening at the Ball, but Tom is going to find out.
    • Idea put forward to make none of the clubs hand out awards and decision made to save ours until the AGM (or the pub afterwards.)
    • Do we want to add another award or keep it at the original 5 that we have? So far we have "Moose of the Year", "Piss head of the Year", "Most improved rower", "Erg King" and "Erg Queen". Suggestions made to have award for "Slapper of the year"

      ARA AFFILIATION:
    • The University of Sussex is now officially affiliated to the ARA and so we can now race as Sussex and not as Shoreham.
    • Anyone who wants to change their membership over needs to ring them up and give them their ARA number. Won't get a new card, but it will be officially changed on their computer.

      SHOREHAM AGM:
    • As many people as possible need to go.
    • On the 10th March, (sun). All the men are going to be down there, but some of the women won't be as they will have raced the day before at the Head of the River.
    • Important as they are planning to extend the clubhouse soon, and womens changing rooms as well.

      (Emma C tried to be helpful and con Stan into thinking that we were all racing on the Sun and so wouldn't be there, but it turns out that she was just being stupid and didn't understand what he was asking her.)

      CHESSINGTON:
    • 4th May.
    • More people need to reply so that Emma knows how many places she needs to book on a bus.
    • At the moment 9 people have replied, so it was decided that we should book an 18 seater and fill it with friends etc.
    • Carl was abused for not replying, until he pointed out he replied at least 3 times!

      T-SHIRTS FOR BUSA:
    • A design has been finalised for the t-shirts. The Sussex logo is on the front in the top, left hand corner, and the names, (plus nicknames) will be on the back with the slogan "The faster you stroke, the harder it gets." The t-shirt will be blue and the writing is going to be in red.
    • The cost should be about £5 a t-shirt.
    • Need to get money and sizes off everyone, before we order the t-shirts.
    • The meeting then descends into chaos as everyone tries to come up with nicknames for everyone else.

      ADUR HEAD
    • Sun 14th April. River next to Shoreham.
    • Two mens crews are going to be entered, and one womens crew in the river boat.
    • If anyone else wants to race, then they need to decide soon, and let either Tom or Emma know.



      FUNDRAISER:
    • 7th May (tues)
    • The boats and beans idea is going ahead, and so people need to volunteer to either sit in the boat, or help set up.
    • Decided that it was going to be for 6 hours, from 10 am until 4 pm. The girls will sit for the first 3 hours and the men will sit for the last 3 hours.
    • All the women have decided to do this, so the men need to volunteer, and quickly!
    • Letters are being written to supermarkets for Sponsorship and Beans. Articles are being written for the Badger, Radio Falmer may be there, as well as the Argus (possibly).
    • Estimate to fill the boat, after many calculations (thanks Karen), was 2000 tins of beans. Or £180 to buy them off the shelf. Hopefully we'll get them cheaper than that and donated.
    • Sponsorship forms will be drawn up before the Easter holidays.
    • Things we need to sort out are: Buckets to carry the beans, People to carry the boat to library square, Opening the tins, What to do with the beans when we're finished, Plastic to put under the boat, People to be there at 8 in the morning to help set it up, bucket shakers (Julie, Tom, other 3rd years),

      (Gareth considers the possibility of the boat splitting and fibre glass going everywhere, while Tom wows us with the idea of a baked bean tidal wave. Gareth will only do it if he can wear a balaclava. Meeting descends into chaos again after the men refuse to sit in the beans and a discussion arises as to whether yoghurt is a natural cure for Thrush.)

      LAST THING:
    • BUSA.
    • Leave by midday on Fri at the latest.
    • WVIII and MIV are racing on the saturday, MVIII and WIV are racing on the sunday.
    • Carl wants to stay and camp on the Sunday so that drivers are not too tired after racing all weekend (and possibility of drinking for others)
    • Tom suggests a post BUSA party in the week and is booed by everyone.
    • People with tents say that they will bring them in case anyone wants to camp.
    • Need to find others with tents.

      ANYTHING ELSE:
    • Do we buy a mens IV?
    • Have £600 in account so can put £500 to a new boat, plus the initiative fund. Not enough money to buy the boat we want, and the initiative fund may not be around next year.
    • Do we buy the boat now, or wait until next year?
    • Finally, everyone decided to see how much money is raised by the Boats and Beans idea and then re-do the proposal again.
    • Possibility of auctioning Blue off on e-bay, so that we get some money for it after we've completely trashed it.
    • Geoff Holloway is coming to safety check the boats on the last day of term.
    • If anyone finds anything wrong with the boats in between then and now, then please say so that we can fix it before he gets here. We especially need Bertie and Pot Luck to pass.
    • Pointed out that we don't need to have meetings at the Gladstone anymore, as they haven't given us any money for a while. Suggestions put forward for new locations are Carls room and Wetherspoons.
    • Vote for on or off campus meetings. 4 people want the meetings on campus, 4 people want the meetings off campus and James abstains from voting. Carl just bullshits for a while.

      NEXT MEETING:
    • The next meeting will be held at Shoreham after one of the training sessions. Date to be finalised.

      ONE FINAL THING:
    • Codes of good practice: Emma and Karen have drawn up codes of good practice for coastal and river boats, so that as a club we're not responsible if anything happens to rowers.
    • Looked at the one that we had and made suggestions and amendments.
    • Need to include more on safety and less on rowing technique.
    • Emphasise - capsize drill, positions, numbers, sides, Clothing, Depth of the water, getting in and out of the boats safely, Cox is the one in control, checking the boat, communicate problems to the Cox.
    • Differences between coastal and river codes include - getting in and out of the boat, different names for the sides, don't put weight in the boat, different ways of picking the boat up.

      The meeting finally finished after 2 hours and everyone went home!

    • Emma and Emma to take test soon
    • Entries: 2WN4+, N8, WN8, N4+, to be sorted by Karen
      Was agreed that Carl and Tom can have the red bus to tow the trailer. Red bus, red trailer, red jackets. Plans made to take up five lanes of motorway with three buses!?

      MONEY
      Money from Johns pressy - £9 left, £23.93 left from kit, all money to go into club funds will cover large proportion of John and Keiths rooms for BUSA. KIT

    • Carl proposed naked racing, he will bring his camera purely for the benifit of the club (to raise money)

      FINANCE
      finance up to date till end of December minus budget(£200), carwash( 143), membership,(£1050)
      There total is £413.
      BUT, taking into consideration everything since the beginning of the year Julie estimates £871 left.
      This is after we have payed £20 * 25 = £500 for Shoreham affiliation and assumes Nicki will put £150 back into account, Tom to call her and find out.

      CARWASH
      Fliers need handing out on Wednesday. Claire, Karen, Rokeya, Tom and Emma P to meet 9:15 back of Pevensey. Any other help welcome!!!! Claire and Elinor report half the committee haven't signed up and nobble them to do so.
      Mass email decided against, Carl said they're cracking down on it. Tom reminds everyone again he is going for finance and turns meeting into election campaign. Then dumps Karen for not having a car!Emma brings Karen alcohol and the world seems a much brighter place.

      EQUIPMENT
    • Blades and Pot luck paid for. Blades sorted.
    • Pot Luck, rigging is shit.
    • Decided to race rocksteady on Saturday as we know that can be put together, rigged and is raceable as been taken to BUSA for last 2 years.
    • Decided that was pointless putting riggers anywhere on Potluck. Will spend time measuring pitch etc properly at a later date.
    • Trailer is being fixed - should be ready for weekend, but using Shoreham's so that we can boat load on Wednesday after the outing.
    • Blue stripped down to a shell, open to suggestions.
    • Carl gets overly excited at thought of new toy to play with
    • Emma suggests filling it with beans and sitting in it in unisuits for fun,(Emma, think you have serious issues) Karen suggests as a fundraiser. Carl is gob smacked. Julie says she'll sit in peach slices but not beans.
    • Tom proposes the next natural step for the club in terms of equipment is to buy a new four, we need an additional training and racing boat. There are 2 choices pay 1500 now applying to initiative fund for half of this and get okay boat OR wait until we have slightly more money and hope the initiative fund is around next year and get a "shit hot" one. Gareth comments that you need a good crew to row a good boat!!! Decided to spend £2000 apply to the initiative fund for half the money, and perhaps ask for a loan of £300 until we raise that money.
    • Karen proposes to buy small things that add up such as boat ties, spanners, nuts and bolts, Gareth is very shocked that we don't already have a tool kit. All in agreement. Karen to go shopping for it.
    • Tom informs us that we need 3 more gates(£10 each) for Pot Luck. there are 5 good ones on blue and 3 shit. Agreed that he should go ahead and buy them. - No Emma we are not stealing them from Southampton either!
    • Karen proposes that we make slings for the boats as the wooden trestles aren't great. Carl suggests leaving it to someone who knows how to attach a nut to a bolt and which end of the hammer to hold. Karen ignores the fact he's just insulted her as he has also volunteered to make 4 slings. And no Emma we are not stealing them from another club either!

      RACES/COXES
    • - Henley, 9th Feb
    • -Women's VIII, 9th March
    • -Adur Head, 14th April. If anyone is about and wanting to row contact Karen who will sort crews out with Shoreham. (Katie and Rokeya confirmed already)
    • BUSA, 24th - 26th April

      Coxes, Nat doesn't have the time to cox. Need to encourage people to cox. Weight is not an issue for training outings. Elinor volunteers her services, Gareth volunteers Rob's services-he's coxed men's VIII's before. Claire also wants to learn. Start training up coxes.

      SOCIAL
      Chessington - 4th May. Difficult to get hold of them as doesn't open till April. Emma finding out costs but a proposed £20 for the day. Sports Fed Ball - 10th May Decided to hold AGM on Wednesday afternoon - 1st May. Karen to book a room.

      CHANGE OUTING TIMES
      Karen moaned again about the inability to get on the water for specified outing time and suggested making outing 45 past the hour, see previous minutes.
      Decided not to do this. Coxes will be sent emails about outing times so they aren't hanging around waiting for rowers and drivers only need arrive at 20 past the hour.

      SHOREHAM
      affiliation to Shoreham being increased to £25 from next year. Should we increase our membership to £35? Karen leaves meeting to meet coach, Emma left in charge-chaos descends- Karen returns-all is calm.
      Still looking for somewhere other than Shoreham to launch from but it will be long term thing so membership has to be increased(pass at AGM) Julie comments its still reasonable compared to other clubs.

      T-SHIRTS
      Elinor and Claire have been looking to get t-shirts for BUSA. Had a quote of:
    • £30 flat fee to make the three colours we would have.
    • £4.50 for each t-shirt
      Slogans suggested when drunk, Claire and Elinor to investigate further.

      TOM

      Minutes of the University of Sussex Boat Club committee meeting 7/1/02

      Present : Karen Goodwin, Emma Cox, Tom Pattichis, Emma Parkes, Elinor Johnstone, Katie Phillips, Claire Sarell, James Smith, Tim Marchant, Rokeya Douglas.

      Apologies from : Julie Weeds

      BUSA Accommodation:
      The letter has been sent and we are awaiting a reply.

      Kit:
      All money has been received and we are awaiting a despatch date. Donations to John's jacket are in excess and a late christmas present of alcohol for John and flowers for his wife Irene are to be purchased.

      Social 9/1/02:
      It's Rob's birthday! Falmer bar at 7.30pm, check e-mail for further details.

      Accounts:
      Finance are still in a mess with the account problems stated in the previous minutes, they are only half way through October's accounts. It was decided that we spend what we think we have, taking into account Carl's petrol, Tom's train to Southampton (£14) and nuts & bolts (£4).

      (due to chitter chatter Karen suggests a seating plan for the next meeting)

      Equipment:
      Nat reported on viewing a plastic 8+ (Pot Luck) in Peterborough. £250 but open to offers.
      Tom reported that there were serious measurement problems with the riggers on Rock Steady and that we ought to replace the backstays, if not the entire set of riggers.
      Karen reported on the 4- which turned out to be a coxless 4X, nice boat, but not suitable for the club.
      Tom reported on a heavyweight 4+ being 'given' away for rack space at Southampton, but due to the 95kg crew necessity it is also not suitable. It was decided to purchase Pot Luck (Nat to negotiate price) and pick her up in the same journey as that for the blades in Chertsey, Surrey (previous minutes). A set of new riggers for Rock Steady would be too expensive and uneconomical at the present time. Tom to view blades within the next fortnight.
      Nat to check Blue's gates and shoes would be suitable for Pot Luck. It was noted that we should check with Shoreham that there is enough room to store another 8+. Karen to express our needs regarding the proposed new Shoreham boathouse at the next Shoreham committee meeting.

      (note on seating plan - Tom & James are not to sit together... in fact, Jimmy is not to speak at all!)

      Crews:
      It was noted that crews need as much practice as possible in an 8+ before BUSA, and we need to make the most of all good weather. It was decided to race in Rock Steady with dodgy riggers until Pot Luck arrives. Karen to arrange Shoreham weather reports from John prior to outings. The lack of riverboat coxswains was noted, and although Nat can cox all crews at BUSA (Karen to inform Nige of this) we need more coxes for outings... Karen to ask Julie, very nicely!

      Drivers:
      To get a minibus licence you must: be 21 or over, have three years experience and a clean licence. Emma Cox & Emma Parkes to take their tests at some point this term.

      Outings:
      Would all rowers please note: a 2.30 outing means ON THE WATER AT 2.30, not turn up at the boathouse at 2.30! It's very annoying for coxes, crews and outing organisers - BE READY ON THE BEACH AT THE TIME OF YOUR OUTING, and allow time to get changed. Or Karen'll shout at you!

      Race Entry:
      To give competitors a better idea of the cost of racing it was suggested that a set race price should be set. Due to the lack of races and the varying costs this was not possible, so the plan is:
      Members pay their own ARA membership, be it yearly (£25) or daily (£13), their own transport costs and their entry fee, and a set £3 towards transporting boats. The rest of the boat transportation will be paid by the club account.
      Possible head races this term include: Women's 8+, Southampton, Greenwich and the Adur.

      Car Wash:
      This term's car wash is to be held on Thursday 7th February, organised by Elinor & Claire. Karen to supply them with full details, including contacts, location, flyers, posters, recruitment, equipment, etc.

      Sponsorship Letter:
      Still to be sent.

      Re-freshers Fair:
      Wednesday 16th January (10am - 4pm). Katie, Tom and Karen to cover, please go along to Mandella Hall and support them, but don't forget it's still rowing that afternoon!

      Chessington:
      Emma Parkes to organise a club trip to Chessington, for 11/5/02

      Annual Social:
      It was decided not to compete with the Sports Federation and attend their Ball on 3/5/02.

      AGM:
      To be held in the afternoon before the Sports Fed Ball on 3/5/02.
